Add new / Edit existing Service

ISPadmin - Client management If you have added a new client, it just a contact which is not linked to any active in the system. So you have to add a service to such a contact. The service will be used and charged for. Also, there is a rule that one client with at least one active service equals one licence.

Screen for adding a new service is identical to one for editing an existing service.

icon info2 We reccommend that you create/file a contract before you assign a service.

icon lupa disShow deleted services Displays also already deleted services in active service list.
+ Add new service You will be able to add just a service which is defined in Settings Active Services General.

Client MAC address

MAC address of client´s wlan interface. The system automatically loads MAC addresses once an hour. If you have activated firewall MAC filter and you connect a new client, you do not need to fill in client´s MAC address. In this case, ISPadmin enables the client in firewall and when the client is connected, it will read his MAC address from ARP table, and stores it. IP address is then linked to MAC address and locked.
MAC address must be filled in case you use Wireless MAC filter. You must enter MAC address of client´s router prior to the installation, otherwise the client would not be able to connect to AP.
You allow the client to connect with this MAC address only. Calling-Station-ID attribute is created.

Client IP address

IP address under which the client is stored in the system, i.e. routerboard wlan interface address (routed network) or wi-fi PCI card address (bridged network). ISPadmin automatically offers the first free IP within address range on a given router.
Set public IP ranges in Settings Code lists IP ranges.

When client´s IP address is filled in, it is then entered into Mikrotik. Failing which IP address from DHCP pool is used by Mikrotik. Framed-IP-Address attribute is created.

   Not selected

If checked, insert a date. A client without returned contract is displayed with colour-highlighted client number in contact list.

Invoice group

Invoicing Settings Invoice group

Each client belongs to a certain invoice group which represents provider´s company. If you are one company, one invoice group is sufficient. Some ISP´s compose of more companies, hence more invoice groups for each company. Each invoice group has its own logo and stamp for invoices. Also, all data such as numerical series, invoicing, statistics or clients are kept separately. Each invoice group must have its own numerical series.

While adding a new client, the system remembers the last chosen invoice group and pre-fills it automatically next time.
Payment method

Client´s payment option Set payment options up in Invoicing Settings Code lists Payment types.

If you select Number for bulk payments, fill it in the next field.
Invoicing date

Day of invoicing the client/services. You may invoice the client on a certain date for certain time period (e.g. from November 15, 2014 to December 14, 2014). Due to accounting reason we recommend to set the date to the first day of month (1).

Invoice Due Date

Maturity of an invoice. Set it up in Invoicing Settings General.

You may insert individual number of due days.
Suspend services

If an invoice is not paid within a selected number of days, client will be suspended automatically. General settings are in Invoicing Settings General, ID pozastavit_neplatice, pozastavit_neplatice_min_castka and pozastavit_po_splatnosti. These settings are not applied, if you select   Don´t suspend client.

Assigned VS

If a client keeps paying with wrong variable symbol causing his payments fail to be matched to the invoices, you can enter up to 3 variable symbols which are used by the client, and thus his payments get matched. Better solution, however, is to have the client pay with correct variable symbol.

Contact persons

Persons who may be contacted in client’s stead. There is no need to fill in this information if a regular client is concerned (names are identical). The only mandatory field is Name. You can later work with contact persons in Client card / Information.

Notes

Use it for information not mentioned above, such as personal information, comments etc. Information inserted here is only visible in administration interface of ISPadmin in Client card / Information so it won’t be seen by any client. This is an initial note while adding a client. You can later work with notes in Client card / Information.

Suspension of service

The function of suspending a client serves to temporarily block the service without physical intervention into the installation or a manual edit of the router.

A suspended service means that client has no access to the Internet. Suspended service is highlighted(Contacts, Internet, Active services).

When trying to access the Internet, a suspended client will only see web pages as defined by you. (Here also information about basic settings and suspension history).

Even if suspended, the client´s billing will continue normally. It is a kind of a penalization for breaching the payment morals towards the service provider or for breaching the terms of the contract. It is, however, useful to have this situation dealt with already in the contract (not paying the invoice in time, exceeding the due sum, sending spam, breaching the copyright...).

There are 3 ways for suspending a service:

It is done in Client card for a specific service.

Reason Suspended The system enables you to differentiate between reasons. They are as follows: Not set, Non-payer, UnRegistered and optional profiles1 to 9. Each of the reason type has its own web page onto which a client is redirected while accessing the Internet. Configure the pages in SettingsInfo Page.
Suspend service and invoicing Following suspension a service continues to be invoiced by default. Check this option to suspend invoicing; you can also define date FROM-TO from the suspension of both, service and invoicing. You can use e.g. during client´s long-term hospitalization.
Repeat In case of repeated service suspension and invoicing, the above mentioned date FROM-TO is used. You can use it e.g. in case a client is regularly out of home address (vacation).

alert icon If you use automatic service suspension by invoice module it will record Non-payerreason here automatically. To re-activate client, uncheck Suspend service  .

You have to define the following parameters in Invoicing Settings General:

pozastavit_neplatice
If set to 1, clients are suspended automatically by invoice module. The invoice module is able to automatically suspend clients with a bad payment morale. The module monitors the following:

  • Invoice is not paid within certain amount of days after due date, ID pozastavit_po_splatnosti, or
  • minimum due amount is exceeded (pozastavit_neplatice_min_castka).

If you set it to 0, automatic suspension is de-activated. If you change the settings when some of the clients are suspended, their suspension will be cancelled until it is re-activated in the system.

alert icon  It is recommended to use this functionality only when you have familiarized yourself with the settings of invoice module, and all routers in order not to suspend clients by mistake.

pozastavit_neplatice_min_castka
Min. outstanding amount for suspending a client. It is recommended to set this ID lower than is your cheapest tariff price. This way, you will prevent a client from using your service while owing one-month payment.

pozastavit_po_splatnosti
Number of days after due date determines when the debtors are suspended. It is a common practice to set it to 14 days, some ISP´s use even 3 days. So the common scenario is that an invoice is issued on a certain date, usual due date period is applied, and upon its expiration a countdown of days set in this parameter starts up.

Before this period expires, client still has an option to pay the debt after due date.

If it is not paid, client becomes a debtor, and their access to the Internet is stopped automatically. In such case, the client only has access to allowed pages, e.g. banks.

You have to define it in tariff setup in Settings Tariffs Internet:

Data limits (in GB)
For each FUP (1 to 4), you can define automatic suspension (Suspend ) instead of Reduce speed.

Creation of client number

While adding a new contact to the system, you will be offered first unused client number. It is recommended to use numerical series starting with current year, e.g. 2009 (or 09). You will be offered number incremented by 1 for subsequent contact. You may wish to insert individual client number, e.g. while reconnecting already disconnected client.

You can select between manual and automatic creation of client numbers. Manual creation could be used in case you want to preserve numerical series from previous system. Or if you want to have client numbers base on year numbers. If you enter client number manually the system will offer you this client number incremented by 1 for subsequent client. Newly added clients may thus be simply marked with numbers: 20090001, 20090002, 20090003 etc. Marking the clients in this way enables you to say when a certain client was connected. Also, overview of clients may be sorted easily in different lists in the system. You can also use manual creation of client number for cases when a disconnected client is being re-connected and you wish to assign them the same client number, which is helpful for history-keeping purposes.

If you do feel the need to deal with the precedent ways of assigning client numbers, you can select automatic assigning of the client numbers and the system will take care of everything automatically. This option eliminates the possibility of human error because the client number field will be hidden on the form. Settings of client numbers is defined in SettingsSystem SettingsGeneral, ID typ_klient_number. You change this parameter at any time, thus combining the options.

collision

If you use manual creation of client numbers, a collision of client numbers may occur. The system automatically monitors collisions of client numbers and makes sure client number is always unique. Collision are reported. Each change of client number is recorded in Client card / History.

If you use automatic creation of client number, no collision may ever happen. The system also checks variable symbols (or specific symbols, if defined) so that variable symbol is unique for each client.

Entering an address

ISPadmin - Client management

You have the following options to enter address:

Fill in respective fields: Street, Postcode, City

It works well in ISPadmin yet it is more efficient and accurate to use

Google maps

Insert street and city, or street and postcode and click on Search above Google maps frame. Red pointer will be displayed directly on your selected spot, and also GPS coordinates will be fetched automatically. You may move around the pointer freely and place it on desired spot thus again updating fetched GPS coordinates. If you wish the client to be displayed in Other Map leave   Show on map checked.

Send invoices by email

Invoices get sent in PDF automatically upon their issuing. Sending via both, regular and electronic mail may be used at the same time.

For an invoice to be sent to client, you have to

  • check Send invoice by e-mail in Clients Contacts
  • fill in one email address at least (E-mail or Invoicing email).

You can send an invoice to more emails, if needed. Just enter more email addresses and separate them with “,” or “;”.

alert icon If Invoicing email is entered invoice will be sent there. No other email will be used.

PING to client does not work

PING to client function is off by default. It is to reduce network load which increases with number of clients. Locating router statuses and connected devices is of course still active and monitoring runs via PING as well as the NAGIOS module.
To activate the function, just uncomment the following line in /etc/inittab:

#t1:23:respawn:/usr/local/script/ispadmin/cable_userping.pl

And then run the following command:

telinit q

Removing records from ISPadmin

Delete client

Deleted client is not deleted from the system, instead its record is excluded from active client list.

Delete service

Removed service is not deleted from the system, it is deactivated and hidden from list of active services. You have the following options in Client card.

icon lupa disShow deleted services Displays also already deleted services
Restore cancelled service It enables to restore a deleted service using service edit.

Delete invoice

Standalone invoice You can icon delete invoiceCancel invoice from invoice detail in Client card / Invoicing, and then delete completely icon check ko from Invoicing Cancellations Invoices.
Bulk invoices

You will be allowed to delete issued invoices only if all of them are unpaid.

Delete router

A router can only be deleted if no service is assign to it. It will be deleted entirely, just its ID is stored in the database so it will be possible to add a new one with the same ID, and then re-define its settings.

More than 1 item in email or phone number fields

You will be able to add more items in every field in the system designed for email address or mobile phone number. Use ",” or ";” to separate the items.

How to display client portal login credentials on an invoice

In Invoicing Settings Invoice Groups, while adding a new group (), or editing an existing one icon edit:

Invoicing data section, Addition field
It is recorded for each invoice. You have to use these variables: $USERNAME$ (Client name) and $PASSWORD$ (Password).
Supplement text may look like this: You may view all your issued invoices also in electronic form on client portal, your registration data: Client name: $USERNAME$ Password: $PASSWORD$

How to give a discount

Options for discount of regular service rate are as follows:

Tariff rate discount

You may set a discount while editing/adding a tariff. The options are: No discount, Fixed discount (in currency per month), or Percentage discount (from monthly rate). If discount is selected, enter Discount name (invoice description), or its duration (Discount from-to. This settings will be visible at next issued invoice, if you don´t modify it back. So it is a regular discount from a predefined tariff price.

Pending item

This type of discount is used mostly as one-time discount. Simply enter a negative amount to a pending item.

Then issue an invoice where you include the pending item, or just wait until next invoicing when it is done automatically.
icon info2 Use Invoice from date to postpone invoicing of the item, or define more pending items with different Invoice from date.

As a result, discount amount is deducted from basic tariff price reflecting it to the invoice amount.

Edit invoicing period

karta klienta fakturace uprava fakturacniho obdobi

Check those un-invoiced months which you wish to exclude from future invoicing. It is a simple and fast way to provide a client with free months’ period without touching setup of a tariff or service.

VAT missing on a cash receipt

If the client pays for the invoice in cash, VAT tax is not stated on the cash receipt. VAT is not given for a simple reason - the tax is stated right on on the issued invoice. If VAT were stated also on the cash receipt, the client might enter it among their expenses and this would be incorrect.

Filtering clients base on their invoicing

Invoicing is related to services, not clients. A client can have e.g. 2 active services with different invoicing for each (“No invoicing” for one and “monthly” for other). This is why you can only filter clients by their services and invoicing. You can find the filters in Clients (sub-bookmarks of services).

How to assign an IP address pool to a client

When editing/adding the Internet service, click on + Add IP range. This option is used when it is necessary to re-route public addresses to a client’s router, e.g. for web servers. You can enter routed IP ranges here. If these ranges were not listed in the Client card, the system would not shape them and the IP addresses would not be limited in any way.

How to add a NAT IP address

A NAT IP address can be added in the Client card. When you are editing the Internet service, find the NAT client item. Check the box and fill in a NAT IP address.

How to add supplementary information to contact emails and phone numbers

If you need to add supplementary information to a client's email address and phone number, it is posible to do it in the following ways:

  • Contact persons in Client card: You can assign potentially an infinite number of contact persons to a given client (name, phone number, email address).
  • Additional system variables: First, you create a variable called, for example, Another email address in SettingsCode listsSyst. variables. Second, you enter its default value and the form of the system variable, e.g. $ANOTHER_EMAIL_ADDRESS$. Then, you fill in the necessary details in Client card / Information / Additional system variables. Now you can use the variable in emails, contracts and SMS text messages.

Suspension of the internet service at the client's request

If your client contacts you and wants you to temporarily suspend the Internet service, proceed in this way: In the Client card, find a given service and edit it. Check the Suspend service box. New options will appear. You can enter here the reason for service suspension as well as choose whether you also want to suspend invoicing. If you check the Suspend service and invoicing box, you can select the period during which the service and invoicing is to be suspended.

One-time invoice for a service provided in a certain time period

If you want to issue a one-time invoice for a certain service that is provided, for example, the whole year, you have to be careful not to confuse the total amount charged with the price of service per month. If a given service costs, for instance, 72 EUR per year and you want to issue a one-time invoice covering the whole period (12 months), do not insert 72 EUR as the price of service. If you did that, the system would do the following: 12 x 72 EUR (which is not what you want). Instead, insert 6 EUR as the price of service (12 x 6 EUR = 72 EUR).

How to increase internet speed in off-peak hours

If you want to increase a client’s Internet speed in off-peak hours, you can make use of time tariffs. In a given time period, the system applies different rules to the MikroTik router in question.

Is it possible to export/print out all the contracts of a client at once?

No, it is not possible. Each contract is unique. It is a single file and it is not possible to merge it with others. What you can do is send your clients all their contracts as an email attachment or show them those contracts on the Client portal.

Is it possible to set an installation fee discount anywhere in the system?

No, it is not. You cannot enter such a discount to the system at the moment. Consequently, you cannot use it as a system variable either.

Charging clients for tariff changes

You might want to charge clients, for example, when they decide to change to a lower tariff. You can do it in the system, but the system does not do it automatically. You have to invoice them for it manually (on an individual basis).

How to issue an expenditure cash slip

The system issues an expenditure cash slip when overpayments are refunded in cash. Overpayments can be refunded in the Invoicing section of the Client card. Refunded overpayments are displayed in the list at the bottom of the page. There you can also download an expenditure cash slip in PDF format. You may then print it.

If you want to issue an expenditure cash slip when there is no overpayment to be refunded in the ISPadmin system, you can do the following: In the Invoicing section of the Client card, click on icon money acceptReceive payment in cash. Then fill in the Add to credit field at the bottom of the form. Enter a particular amount and save the form. Now there is an overpayment in a given client. Refund the overpayment by clicking on icon money backReturn overpayment. Then you can print the slip.

Limited data consumed / Traffic graphs are high

If you experience one/both of the following problems

  • Limited data gets consumed within a short period of time (without a client actually using it) and/or
  • Traffic graphs of users go up to a speed which is not even set for the service,

then disable the Only router monitoring option in the router, which is used to manage clients and from which information about data transferred are retrieved. (Click here for more information)

Otherwise, traffic counters are not reset. If a counter reset does not take place on a particular MikroTik router, the system obtains data that seem to indicate that the amount of traffic passing through the router has been on the increase and assumes that the speed of a given client's connection has increased.

Lookup by phone number

You can use http://ISPadmindomain.com/new/www/find-client-by-phone-number/?number=420999888777 to get Client card of a client with the number used in “number” parameter. ISPadmin administrator must be logged in.
